The estimate process starts with a phone call or zoom meeting.
The zoom call is 100% free and absolutely no commitment.
Scheduling:
When you contact us we respond to you the same day M-F and if you contact us Saturday or Sunday we will contact you the following Monday. If at any time we need to reschedule we absolutely can.
Zoom call:
The zoom call is meant for our Production Team to provide you with a price range for your project. The zoom call also gives us a chance to virtually meet each other to ensure we will have effective communication throughout your entire project.
If possible during the call we will ask for rough measurements of the project. In order to take measurements you may need a tape measure, the measurements don't have to be precise, just a measurement to allow us a basic to go off of for your estimate.
From the zoom call we will be able to provide an estimate which can be best described as a price range. We complete our estimates this way to provide the best possible service to our customers as we know many times customers don’t necessarily have a budget in mind. By providing you with a price range you are able to quickly get an idea of what your budget may need to be. We ask that you go over your finances prior to contacting us with your significant other or spouse so we don't waste your time in the process. Sometimes we may need to tailor your project to keep it within your desired price range. We will offer you different ideas and thoughts to help keep your project in budget and on time.
Once we agree upon the scope of work and price range for your project, then we can move forward to the consultation stage.
Consultation:
The consultation is the next step after our zoom meeting. We start by scheduling a date and time for our skilled Project Consultant to meet with you in your home (this is the same employee you will have spoken to for your phone call or zoom estimate.)
Once the consultation is scheduled we require a nonrefundable $200 consultation fee. After the payment clears and scheduled for your consultation, our Project Consultant will then meet with you and your spouse/significant other in your home. We ask that you clear roughly 1 to 2 hrs from your schedule to meet with us.
During our consultation we will go over selections such as colors, different product choices, and desired time frame for your project. There are many levels of products to choose from, we will do our best to make the selection process smooth as silk. We know from experience what products to use to ensure you get the best value return on investment. While we are on site, we will take accurate measurements, and go into more detail to ensure your project matches your desires. We will take notes and work diligently to compile all the information we need to make your dreams a reality!
Our Project Consultant will then go back to our office and compile all of your selections putting together a final estimate for your project. Once we submit our concise estimate to you with all your selections and you agree to signing our contract, we will then collect cash or check for the project deposit. The deposit will vary based on project size and scope of work, your deposit will include all materials for the project. At this time your $200 consultation fee will be credited to your project. We ask for materials to be paid in full upfront, we do this so we can better serve you. This allows us to order the materials for your project before the project start date, that way they are ready for delivery at the start of your project which helps eliminate unforeseen supplier delays.

If you for some reason choose not to go with Polaris Home Services then the $200 consultation fee will remain ours to cover our costs for your project consultation and compiling the finalized estimate.
We assign a Production & Sales Manager, and a Lead Carpenter to every project to ensure your project is properly managed. The Production & Sales Manager is a Polaris Home Services employee and they are responsible for all of the pricing, communication and backend/scheduling.
Our Production Manager will have consistent communication with you and will handle any questions regarding changes to the scope of work, and the over all progress for your project. Your Production Manager will have weekly check-ins with you and our Lead Carpenter to keep you informed.
Our Lead Carpenters are also Polaris Home Service employees, they will handle the on site tasks and the day to day construction process, they will be onsite daily usually between 7:30am to 4:00pm and can answer questions about the day to day progress and what their plan for the day or week may look like.
Depending on your project we may have our subcontractor team members arrive sporadically throughout your project as they fit in our project timeline. We will always make sure you know a timeframe of their arrival well in advance so you know when to expect them. We ensure they will never arrive unannounced. We will also do our very best to be onsite when they arrive. In the rare event one of our team members aren't available to be on site with our one of our subcontractor team members we ensure they will have the same values and will hold themselves to the same standards we do. The only reason this situation would possibly occur is so we can ensure your project stays on schedule. With that being said, since 2019 we haven't ran into that situation yet.
We ask that any questions regarding schedule, selection delivery, price adjustments and concerns be directed to your Project Manager, as our Lead Carpenters and subcontractor team members don't have the authority to answer those type of questions.
Our project schedule is ever changing and it is our goal to communicate with you how we are progressing towards your project start date. On average for larger projects we have a 4 to 8 week window from contract signing to project start date, some factors where a adjustment may need to be made could be weather related or acts of God, supply chain issues, and product selections not being made in the time frame we need for ordering. For smaller projects we have a 2 to 4 week window. It is very important selections are made in a timely manor to gets selections ordered and received prior to your project start date. At Polaris Home Services it is our goal to get your project started within your desired start window however we ask for grace when events that happen out of our control are the cause for delay.
Polaris Home Services & Construction is a one stop shop for all of your remodeling needs, although, it is ultimately your responsibility to pay for all permits and any related fees, our team is here to help guide you through the process while we prepare any paperwork that is required in setting up inspections.
When building permits require architectural design plans, various drawings, and other documentation, an expediter may be required in order to submit the documents. It is our job to let you know whether their services are required or not. If their services are required we will include their services as a separate line item on our formal bid.
